Transfer to a person

When a real person is needed, the call gets through instead of getting lost.

When a person is needed

Two out of ten calls need somebody on the team. That part is not the problem: how they arrive is.

Today
  • The call goes from hand to hand until it finds someone who can help.
  • The customer repeats what they have already said at every hop.
  • The call gets passed on without knowing whether that person is in.
  • If they are not, the call dies in a voicemail nobody listens to.
  • Every wait is a chance that they hang up.
With heydiga
  • The call goes straight to whoever handles that matter.
  • The reason arrives explained before the customer opens their mouth.
  • It checks that somebody is there before transferring.
  • If they are not, the message is taken and gets through right away.
  • There are no waits: either it connects or it takes the message.

Routing properly from day one

No change of switchboard and no new number: it sits in front of the one you have.

1
You write down the org chart
People, departments and which number or extension each one answers on.
2
You say what goes where
Which kind of call goes to each place and which ones are always transferred.
3
You define the fallback
What to do if nobody answers: message, second destination or call back.

What changes when nobody gets lost in a handover

These numbers come from businesses where half a call went on finding the right person.

What everybody asks

Six quick answers to get the doubts out of the way.

When does it pass the call to someone on the team?

heydiga passes the call on when the customer asks, without insisting, and when the enquiry goes beyond what it has been told. The business also decides which cases are always transferred, such as complaints, emergencies or sensitive matters. They are usually few: 2 out of 10 calls need someone on the team, and the rest resolve themselves.

Can calls be split between departments or locations?

Yes, heydiga routes each call by reason: each type can go to a person, a department or a location, with its own number or extension. It takes everyone's hours into account so it does not pass a call to someone who is not there, and anything not covered goes to the default destination the business sets. The organisation chart only has to be written down once.

What happens if the person the call is meant for is not available?

heydiga checks that someone is there before passing the call on, so it never leaves it ringing at an empty desk. If nobody answers, it applies the plan B the business has set: taking a message with the reason and the contact, trying a second destination or arranging a call back. The message gets through straight away, instead of dying in a voicemail nobody listens to.

Do I need a new switchboard?

No, heydiga works with the switchboard the business already has and with its extensions exactly as they are: it sits in front of it, with no change of number. The only new thing is writing down once who is who and which type of call goes where, which is what it uses to route calls.

Can it transfer the call to someone on the team?

Yes, heydiga transfers the call to a person when needed, along with what has been said so far, so the customer does not have to repeat it. The business decides which number or extension it goes to and in which cases: when the customer asks, complaints, sensitive matters or any other case it defines.

What if my customer would rather speak to a person?

heydiga transfers the call as soon as the customer asks. If they ask once or twice, it passes the call to the person or extension the business has defined, without insisting. The aim is not to keep the customer stuck with a machine, but to get their question resolved.

Try it with your switchboard

It sits in front of the one you already have and starts routing this very afternoon.

The phone causes more trouble

If this one rings a bell, these three will too. Each is solved on its own.

Two channels, one assistant, no duplicate appointments.
An appointment falls through and it is offered to the next in line before the slot goes cold.
There is contact after the job, and that is why the customer comes back.
