Book

Checks the real gaps in the calendar, gives the appointment, moves it and cancels it. All by voice, in the same call, with nobody having to write anything down afterwards.

The calendar is still filled by hand

Almost every service business lives off a calendar, and almost all of them are filled the same way they were twenty years ago.

Someone picks up the phone, looks at the gaps, proposes a time, negotiates another and writes it down. Every one of those steps occupies a person and allows for error: the slot that had already gone, the service whose length was guessed, the appointment that stayed on a scrap of paper. And when there is nobody to do it, at a peak hour, on a holiday, at eleven at night, it simply does not get booked.

Incoming call · Monday 21:10

Hi, it is Dani. Can I move my haircut from Thursday to Friday?
S
Of course. On Friday I have 11:00 or 18:30 with Leo.
Half past six, perfect.
S
Done, Friday at 18:30. Thursday is now free.
Appointment moved

It books for real, it does not take a message

The difference between noting a request and closing an appointment is that the second one is already in your system when you hang up.

  • Checks real availability at the moment of the call, not a copy from this morning.
  • Works out how long each service really takes before offering a slot.
  • Gives the appointment with the professional, room or resource it belongs to.
  • Moves and cancels what was already booked, without going through anyone.
  • Offers alternatives when the time they ask for does not exist, instead of saying no.
  • Leaves the appointment written in the system before hanging up.

Four things, and none of them technical

All of this already exists in the business. It only has to be shown once.

The calendar
Access to the software already in use: Booksy, CoverManager, Gesden, Quiter, Inmovilla or whichever it is.
The catalogue
Which services are offered and how long each one really takes.
Who does what
Which professional, room or resource can handle each service, and on what schedule.
The rules
Minimum notice, permitted overlaps, holidays, capacity and everything else the business has already decided.

A full calendar and nobody writing things down

It is not an inbox of requests somebody reviews later. It is the same calendar as always, with more appointments in it.

  • The appointment in your system, not on a separate list that has to be transferred.
  • No double bookings, because it checks availability in the moment.
  • Bookings at any hour, including the ones lost today while the business is closed.
  • The team writing nothing down, neither during the call nor after it.
  • A record of what was asked for and could not be given: the demand nobody measures today.

It almost never works alone

Book is the skill that closes. It almost always arrives after another one has resolved the question or recognised the customer.

Closes the appointment at night so the team opens with the calendar already made.
It is the main skill: the whole case rests on it.
Reassigns the slot when somebody confirms they are not coming.
Books the same by phone as by message, without duplicating it in the diary.
Puts whoever was waiting into the slot that just opened up.

Where the limits are

We say it here so nobody discovers it in a demo. Book does one thing and does the whole of it.

  • It does not take money. No payments or deposits: it leaves the appointment booked and the payment where it already was.
  • It does not invent slots. If the calendar is full it offers alternatives or says so. It will not force an overlap.
  • It does not reorganise your calendar. It does not move other people's appointments or rearrange the day on its own.
  • It does not replace your software. It works on top of it; if you change calendar tomorrow, it connects to the new one.
  • It does not book what is not in the catalogue. Anything outside the plan goes to a person.

What everybody asks

Seven quick answers to get your questions out of the way.

How does the agent book an appointment?

heydiga books by checking the business's real availability at the moment of the call, not a template of opening hours. It asks which service the customer wants, finds a slot that fits that service's real length (a cut does not take the same time as a colour, nor a clean the same as a root canal) with the right professional or room, confirms and creates the appointment in the calendar before hanging up.

Can it give an appointment in a slot that is already taken?

No, heydiga does not offer slots that are taken: it checks the calendar at the instant of the call, not a copy from this morning, so it will not give one that has just been taken through another channel either. It uses the same calendar by phone and on WhatsApp, without duplicating appointments, and it does not force overlaps the business does not allow.

What does it do if the customer asks for a time that is not free?

heydiga offers the nearest alternatives instead of saying no, as a person at the desk would, and that is where most appointments are saved. If the calendar is full, it says so without forcing anything. What the customer asked for and could not get is recorded, so the business sees for the first time the demand that nobody measures today.

Can it change or cancel an appointment?

Yes, heydiga changes and cancels appointments already in the calendar, in conversation, by phone or by message and without going through anyone on the team. When it moves an appointment, it offers the free slots and releases the previous time. If the business has a waiting list, the time that frees up is offered to whoever was waiting. The plans section shows which plans include the waiting list.

Can heydiga take appointments and bookings 24/7?

Yes. heydiga takes appointments and bookings at night, at weekends and on bank holidays, which is when a good share of calls are lost, and writes them into the business's calendar before hanging up. It also answers several calls at once, so at peak times no customer is left waiting or hangs up.

Does it integrate with my management software or my calendar?

Yes. heydiga integrates with the management software, CRMs and calendars the business already uses, such as Booksy, Treatwell, CoverManager, Doctoralia, Salesforce or Google Calendar, to check availability and create appointments. If a specific integration does not exist yet, it is assessed as a development project and, in the meantime, the agent works just the same: it answers calls, gives information and books into a time window agreed with the business.

Do I have to change my number or software to answer calls with AI?

Nothing needs to change to use heydiga. The business keeps its phone number and its management software: heydiga connects to the calendar or CRM it already uses to check and create appointments, tickets or orders, and if it uses none, heydiga provides one. Each business decides which calls to divert: all of them, after-hours calls or only the ones it cannot get to.

Try it with your own calendar

It connects to the one you already have and starts booking this very afternoon.
